Staff Files

An official staff file is created for every staff member upon appointment. The files are registered on the University’s official records management system, known as Records Online. The contents of staff files are then managed by the Human Resources Service Centre (HRSC) staff.

From 31st March 2008, new staff files were electronic and new documents were only be added to staff files in electronic format. For what should and shouldn't be filed on a staff file, please refer to section 7.2 & 7.3 of the University Record Keeping Manual - Part 4, Staff Records.

The HR Service Centre naming convention must be strictly adhered to. Please ask your manager for the most recent version of this document. If there any problems or questions about the naming convention, please consult your manager for advice.
