WARNING: All student should note that it is inadvisable to go on exchange in the last semester of your degree if you are intending to do further study. Time lines for receiving and processing overseas transcripts may not allow enough time to apply for admission to another degree in the following semester or graduate with your fellow students.

Instructions for Students with Faculty Approval of Exchange

Congratulations! You can now decide on which subjects you would like to study at your host university. You will then need to obtain approval of these subjects from the relevant Departments.

  1. Download and fill in the subjects you would like to study on the Academic Approval Form For Nominated Exchange Applicant.
  2. Contact the relevant Exchange Coordinator by email to make an appointment to discuss your subject selection. If, for example, you are taking a History subject on exchange then you will need to seek approval from the History exchange coordinator. The Exchange Coordinator will inform you of the generic unit that you must enrol into for your exchange shell units (eg. HSTY2805 History Exchange). Remember to keep a copy of your completed Academic Approval Form for your records.
  3. Download and complete a paper Enrolment Variation Form. You will be adding the approved Exchange Units to your enrolment and withdrawing from all other enrolled units of study.
  4. All completed forms must be submitted to the Faculty of Arts and Social Sciences Office. Remember that the Academic Approval Form needs to submitted by the enrolment deadlines.

Post-Exchange Credit Transfer

On your return from exchange you are required to submit a Post-Exchange Credit Transfer Form. If you have changed your subjects whilst at your host university, you will need to receive new academic approval from the relevant Department before submitting your form to the Faculty of Arts and Social Sciences Office.

No credit transfer will take place until this form has been submitted to the Faculty of Arts and Social Sciences Office. This means the credit for your exchange subjects will not appear on your academic transcript until you submit this form and all requirements are satisfied.
