The OME Administration Team is divided into 7 different units.

Executive Assistant

  • Administration and primary contact point for diary and telephone for the Head of Medical Program
  • Receiving, assessing and managing telephone, e-mail enquiries and correspondence as well as following these up
  • Faxing; mailing; photocopying; compilation of manuals, reports and agendas for distribution
  • Collecting, sorting and distributing mail
  • Providing secretarial support for the organisation of meetings and small events including collating and distributing papers, booking and organising of the venue (including audio-visual equipment), ordering catering when required and making travel arrangements
  • Ordering and maintenance of relevant office stationery and equipment
  • Managing the parking for visiting lecturers
  • Provides administrative support to the Stage 1 & 2 PBL', monitoring and supplies of PBL rooms

Executive Officer

Overall management of administrative matters in the OME, including

  • Budget management including reporting

  • Travel requisitions, per diems and acquittals
  • Casual timesheets and casual recruitments
  • Reimbursements and payment of honorariums
  • Maintenance of HR files
  • Recruitment and employment including staff leave

  • Advice on University policies and procedures
  • Liaising with Clinical Schools & the Faculty of Dentistry to ensure overall smooth running of the Medical Program
  • Management of the Scholarships Index for the Sydney Medical School
  • Strategic planning including staffing and budget allocations
  • Student advocacy and support in relation to administrative procedures
  • OME administrative representative on Sydney Medical School committees
  • Assisting with the accreditation of the SMP through the AMC
  • Reporting to external bodies including Health Workforce Australia regarding clinical placement
  • Asset Management & ordering of all IT equipment for staff and teaching rooms in the SMP

Learning and Teaching Support Manager

Team leader responsible for administration of OME Learning & Teaching Support Unit

  • Co-ordination and monitoring of the web publishing and maintenance of the Sydney Medical Program website
  • Co-ordination and monitoring of revision and renewal of Stages 1, 2 and 3 curriculum content
  • Web publication of new and revised curriculum documents
  • Management and overseeing of tasks relating to the content renewal and delivery of the Medical Program Curriculum.
  • Liaison between the Medical Post-graduate Student Unit and the Sydney Medical School IT Group
  • Monitor emails sent to year group mailman lists and facilitate student site access

Learning and Teaching Support Officer - Stage 1

Co-ordination and timetabling of Stage 1 curriculum content for the Medical Program, including lectures, themes and PBLs.

  • Develop and maintain the Compass events timetable for the above and respond to queries from students and staff
  • Liaise with staff in the Faculty of Dentistry to assist with timetable co-ordination between the two Faculties
  • Co-ordination of lecture  and theme session master lists, schedules, invitations and confirmations for Stage 1 of the Medical Program, including liaising with the Stage 1 Coordinator, and relevant Block and Theme chairpersons
  • Co-ordinate Stage 1 content review process including:
    • Maintaining curriculum grid sheets
    • Administering schedules of recommended content changes
    • Web publishing and maintenance of the Medical Program site [using the Content Management System (CMS) and Compass]
    • Updating student and tutor handbooks
  • Invite and prepare PBL tutors for all blocks including set up of mail lists and PBL tutor evaluation via CMS

OME Project Management

Senior Project Officer

Duties and responsibilities include the following:

  • Management and co-ordination of the web publishing and maintenance of the Medical Program website and Office of Medical Education (OME) website. 
  • Implementing, reviewing and modifying OMEpedia, The Office of Medical Education's Standard Operating Procedures using mediawiki
  • Implementation of new software stategies to improve workflow, reduce error rates and increase productivity.
  • Write instructional documentation and produce online instructional videos
  • Development, evaluation and maintainance of on-line resources using video and still images.
  • Liaison between the Medical Program IT Group.
  • Faciliate staff and student website access.
  • Work closely with the Learning and Teaching Support Unit to provide high level support in implementing and maintaining new innovations in the Medical Program.

PPD & Research Support Officer

  • Provide administrative support for the Masters of Medical Education including:
    • Management of on-line units of study in WebCT
    • Support academic staff teaching units of study face to face
    • Process student results each semester
    • Organise ITL evaluations, follow up & report on responses
    • Service committee meetings for the Masters of Medical Education
  • Provide administrative support for the Personal and Professional Development (PPD) Theme including: 
    • Provide high level PPD administrative support for Stages 1, 2 and 3 of the Sydney Medical Program
    • Administration of the PPD assignments
    • Event management of PPD intensive workshops
    • Assist with the preparation of PPD documents such as Problem Based Learning (PBL) tutorials and student handbooks including placing the Stage 3 PPD handbook and other resources on the Sydney Medical Program website
    • Post bulletins to students on the Sydney Medical Program website
  • Provide administrative support for the Combined Medical Program including
    • Arrange welcome function
    • Provide student support for students in the Medical Education and Combined Medical Degree Program
    • Manage the completion of the 0 credit point subject STMP3007 (rural placement or research elective) including arrangement of placements at the Rural clinical schools
    • Manage student database
    • Service meetings of the Combined Medical Degree Committee
    • Create FlexSIS reports of program enrolments
