IRMA Grants & Contracts Administration

From Monday 26 August all research grants & contracts administration will be managed through the Integrated Research Management Application (IRMA).
Users should already have access to IRMA (login via the University intranet) or you can request access. There is a training manual that covers the basics, including searching and navigating around the system.
The Research Information Management System (RIMS) will be unavailable from Monday and we will work with our colleagues in ICT to start the process of decommissioning the system. Please update your favourites.
Some of the key points or tips to remember are:
Documentation and TRIM
The Research Portfolio and Archives and Records Management Services (ARMS) are working together to integrate the IRMA and TRIM systems.
Legacy documents will remain on TRIM and can be found in the notes tab of each IRMA grant record. More details can be found in the manual under the Notes and Documents section.
Any new documents added to grant records from Monday 26 August can be found on the documents tab inside each IRMA grant record.
Milestones and Reporting
To assist in ensuring that milestones for the grant records you help administer are kept up-to-date, IRMA has a report that allows users to see all contractual milestones due from now until the end of 2013.
More details can be found in the manual under the Reporting Module. If any milestones are not correct, missing or delayed, please e-mail us and we will update our records.
Academic Profiles & HERDC Reporting
In order for grants to appear on Academic Profiles, they need to be first uploaded into IRMA.
It is also important for active grants to be entered into IRMA to ensure that if eligible they can be identified and included in the annual HERDC return.
Field of Research (FoR), Socio Economic Objectives (SEO) and Type of Activitiy codes are required to be reported as part of Excellence in Research Australia (ERA) as well as to the Australian Bureau of Statistics (ABS).
Researchers have the ability to be able to update their codes against their grants and outputs in IRMA. Note they cannot edit other parts of the record.
