Getting Started at the School of Physics

This page provides the basic start-up information for new staff, affiliates, Honours and postgraduate students arriving at the School.

  • New staff should plan to attend an University Orientation organised by Learning Solutions.
  • New students will attend a School Induction session at the start of the year. Invitations are sent to your University email.

Arriving at the School

Contact your supervisor to confirm your first day, start time and where to meet. Campus maps, directions and transport options.

All new staff, affiliates working on campus, Honours and Postgraduate students will need to collect an Induction Pack from the Physics Office, Room 210, to comply with the following requirements:

  • Registration Form
  • School Photograph
  • School WHS Induction Checklist
  • University online WHS Induction
  • Laboratory Induction Record (where appropriate)

Staff on salary

Please visit the Human Resources (HR) Coordinator in Room 216A and pass on your University employment forms including:

  • Signed acceptance of your contract
  • Bank details form
  • Tax file declaration form
  • Personal details form
  • Superannuation form; and any other forms received with your contract
  • International employees must also produce their Visa and evidence of Private Health Insurance cover
  • Passport or other photo identification
  • Proof of qualifications

This documentation will be forwarded to University Human Resources for entry on the payroll system.

The HR Coordinator will advise when your first salary payment will be made. Salary is paid fortnightly, on a Thursday, directly into your specified bank account/s.

Postgraduate Research Scholarship Holders

If successful in being awarded a scholarship, the University Scholarships Office will issue your offer letter. After completing the commencement and bank details form, you must obtain your supervisor's signature. Then hand in all documents to the Physics Office, Room 210, for Head of School approval. The Physics Office can organise return of the documents to the University Scholarships Office.

Staff, Affiliate and Student Cards

The Physics Building is open between 7:30am and 5:15pm, Monday to Friday. Your staff or student card will give you access outside of these hours, subject to supervisor approval, and other rooms and buildings as required. Approval for security access is included in the Induction Pack.

  • Staff and affiliates: Take photo identification, such as passport or drivers licence, Staff Identification Number, and Offer of Employment or Affiliation letter to the Campus Card Centre, Level 3, Jane Foss Russell Building.
  • Students: Get their identification cards as part of the enrolment process.

Office, Keys and Computer

Supervisors of staff and students will organise an office space or workstation as appropriate.

Approval for office keys is included in the Induction Pack. Supervisors may make a key request before your arrival, using the Physics Web Helpdesk.

Supervisors of staff and students will organise a desktop computer and a Physics account, using the "Request New User Account" link at Physics IT support.

UniKey

Your UniKey is a login and password that provides you with access to most University ICT systems and applications.
It consists of either:

  • your first initial followed by the first three letters of your surname and four random numbers, for example abel4192
  • or your first initial followed by your surname, for example jsmith

Staff: Once you have accepted the offer of employment you can ask Information and Communication Technology Services (ICT) on +61 2 9351 6000 for your UniKey.

Students: Get their UniKey as part of the enrolment process. Student ICT website.

Leaving the University

Staff at their end of employment period with the University are asked to complete a Separation Checklist. This ensures that procedures such as deactivating email accounts, removing access to computer networks and systems and returning University property and equipment are finalised before the staff member leaves the University.

The separation checklist is to be filled in consultation with your line manager. This forms the basis of the "Exit Interview".
