Identifying and Supporting Students not meeting their degree requirements: Staying on track


If you do not meet the academic progression requirements of your award course, you may be placed on the academic progression register. It is important that you treat your academic progression seriously as failure to meet your award course requirements could eventually lead to exclusion.

In order to meet the academic progression requirements of your award course, you are required to:

  • achieve the minimum progression rate specified by the faculty
  • pass the number of units of study specified by the faculty as the minimum for a defined period
  • pass any compulsory or barrier unit(s) of study, field or clinical work, practicum or other professional experience

You will receive correspondence from the faculty if you are placed on the academic progression register. All correspondence and documents relating to your progression will be recorded on your progression profile.

If you believe you have been placed on the academic progression register in error, please contact your faculty’s student information office.

Please note, students enrolled in award courses of three years or more duration will proceed from stage 1 to stage 2 to stage 3.

Students enrolled in award courses of two years or less duration will proceed from stage 1 directly to stage 3.


Stage 1

If you appear on an academic progression report for the first time, you will be sent a stage 1 notification letter strongly encouraging you to:

  • attend a Staying on Track information session here
  • fill out a self-reflective survey here
  • you may also be required to see an academic adviser. Please refer to your letter for details.

Stage 2

If you appear on an academic progression report for a second time without an intervening period of satisfactory progress (see reversion details below), you will be sent a stage 2 letter encouraging you to:

  • attend a Staying on Track information session if you have not already done so here
  • fill out a self-reflective survey if you have not already done so here
  • you may also be required to see an academic adviser. Please refer to your letter for details.

Stage 3

You should continue to attend classes during the show cause process.

If you have been placed on stage 3 of the academic progression register, you must write a letter to the faculty justifying why you should be permitted to continue in your award course. You must include any supporting documentation that attests to why you did not meet the award course requirements. A show cause letter is NOT a substitute for a Special Consideration or Special Arrangement application. A Special Consideration or Special Arrangement application should have been lodged and determined prior to a stage 3 notification if you believe your circumstances warranted it. If you believe you have grounds for Special Consideration, please discuss your matter with your faculty student information office.

The faculty will let you know as soon as practicable the outcome of your show cause letter and may:

  • permit you to re-enrol, or
  • permit you to re-enrol with restrictions, or
  • exclude you from your degree.

If your faculty has permitted you to re-enrol, or permitted you to re-enrol with restrictions and you are placed on the academic progression register in a subsequent semester, you will be asked to show cause again.

Please keep in mind that if you are permitted to show cause more than once, your subsequent show cause letters should indicate whether previously identified factors affecting your academic progression have recurred, including reasons why previous strategies to address these factors have not been effective. If the Faculty is not satisfied that your recurring issues are being adequately addressed and considers that obstacles to your academic progress have not been overcome, the faculty has a responsibility to exclude you.


Appeals

If you are excluded from your degree or do not agree with the conditions placed on your re-enrolment, you may have the right to appeal the decision to the university. For details on appealing an academic decision, please click here.


Reversion

If you meet the academic progression requirements of your award course for two consecutive semesters, you will be removed from the academic progression register.

If you have been removed from the academic progression register, and you fail to meet academic progression requirements again, you will be placed on the academic progression register at stage 1 and the faculty may require you to consult an academic advisor about your progress.
