HR Organisational Charts

The HR Organisational Charts tool enables you to view in user-friendly chart format the organisational structure of the University of Sydney and is based on the information contained in Talent 2 Alesco, the University's payroll and HR administration system.

Use HR Organisational Charts to:

  • Organisational charts: generate highly visual position reporting organisational charts displaying multiple levels;
  • Reporting lines: identify any incorrect reporting lines or make reporting line changes, essential for ensuring correct online workflow for myHRonline and online timesheets;
  • HR reporting: maintain data integrity by ensuring that basic HR information (staff’s reporting line, occupancy position title, organisational unit affiliation) is reflected within HR Hyperion reports.

What is the HR Organisational Charts tool?

The HR Organisational Charts tool enables you to view the organisational structure of the University of Sydney by means of a highly visual organisational charting tool. By using this tool, you will be able to view a comprehensive organisation chart for your faculty or business area, displaying staff name, occupancy title, organisational unit, FTE (full time equivalent) information and position number. The information displayed in the charts is extracted from Talent 2 Alesco (the University's payroll and HR administration system) and is refreshed nightly.


How do I access the HR Organisational Charts tool?

From 23 May 2011 all line managers/supervisors will be able to access the HR Organisational Charts tool via myHRonline:

  1. Log on to myHRonline
  2. Select the My Team tab
  3. Click on HR Organisational Charts on the blue line.

I am a manager and I can’t see my direct reports on the HR Organisational Chart

If you are job sharing or, for example, occupying a maternity leave position, both you and your colleague share the same position number and your direct reports will appear only under one chart cell. Click the down-facing arrow of the chart cell that shares your position number and your direct reports should appear. What are “vacant positions” on the HR Organisational Charts?

Vacant positions are positions where a staff member has left and the position is not currently filled. When the position is filled again the relevant data is added to Talent 2 Alesco and reflected in the HR Organisational Charts (this happens via the hiring process, i.e. through the Request to Hire and Request to Appoint forms). If a vacant position is no longer required please complete the Position Amendment Request Form and return it to , and the vacant position will no longer appear in the HR Organisational Charts.


What if I can't see my details in the HR Organisational Charts?

Currently, fixed term, continuing and casual staff and University affiliates with direct reports are displayed in the HR Organisational Charts. How up-to-date is the data in the HR Organisational Charts?

The data displayed in the charts is extracted from Talent 2 Alesco and is refreshed nightly.


What is the FTE (full time equivalent) domain view?

The FTE domain view displays occupants’ full-time equivalent working hours. Most full-time General staff work a 35-hour week and full-time Academic staff a 37.5 hour week. Full-time staff have an FTE of 1.0 and consequently a staff member working 2.5 days per week will have a 0.5 FTE. If a position is vacant, only the position’s FTE will appear as there is no current occupant.
