Approvals
Approve Requests
To action a leave request:
- Log on to myHRonline
- Select the My Approvals tab
- Click on the word Approvals that appears on the blue line that runs beneath the tabs
- Select Approve Requests from the left-hand menu
- Select your response to the request: Approve, Reject or Escalate
- Select the Update button. An email will be sent to the employee.
- Check the details in the Confirmation screen
Note: If Approve or Escalate cannot be selected (or is greyed out) you will need to click on the underlined Record No. in order to approve or escalate the request.
Note: Leave is approved by the line manager (supervisor) unless an alternate delegation is set up.
To view the record before actioning the request:
- Select the My Approvals tab
- Click on the word Approvals that appears on the blue line that runs beneath the tabs
- Select Approve Requests from the left-hand menu
- Select the underlined Record No. of the request you would like to view and action
- The View and Update window will open
This page allows you to:
- View the details of the leave (including if the employee has a medical certificate that needs to be sighted)
- View any warning that may be associated with the leave request
- View the employee’s leave balance and history, as well as your team calendar, by using the hyperlinks under the heading Additional Info
- Reject, approve, defer or escalate the request
To action a leave request from the View and Update window:
- Select the drop down arrow next to Approval Status
- Select Rejected, Deferred*, Escalated** or Approved
- If you have selected Deferred you will need to select the calendar icon next to Reactivation Date to set a date
- Add a Comment if required
- Select the Update button. An email will be sent to the employee.
- Check the details in the Confirmation screen
You need to approve leave within 7 days of receiving the email notification. If you do not approve the leave within 7 days the approval will be delegated to your supervisor, who has another 7 days to approve the leave. If your supervisor does not approve the leave within 7 days, the HR Service Centre will follow up.
*Deferred is used when you would like more than seven days to make a decision on a leave request. By selecting Deferred the request will not automatically escalate to your supervisor unless you have not actioned the request by the date you have entered, the Reactivation Date.
**Escalate is used when a manager (the Level 1 approver) would like to refer the leave request to the next approval level, if it is more appropriate for their supervisor to approve the request. By selecting Escalate the request will automatically escalate to that manager’s supervisor (Level 2) and a comment can be added, such as “I support this application and seek your approval”.
Note: The Level 2 approver cannot escalate to their manager, as the Level 3 approver is the HR Service Centre in all cases. Level 2 approvers should use the “Deferred” option explained above if they wish to seek approval from their manager before actioning a request.
Approval History
To view your approval history:
- Log on to myHRonline
- Select the My Approvals tab
- Click on the word Approvals that appears on the blue line that runs beneath the tabs
- Select Approvals from the left-hand menu
- Select Approval History
- Enter your query criteria or simply leave the fields blank to view all of your history
- Select the Find button
Approval Delegation
To delegate the responsibility to approve leave or casual timesheets for your team members:
- Log on to myHRonline
- Select the My Approvals tab
- Click on the word Approvals that appears on the blue line that runs beneath the tabs
- Select Approval Delegation from the left-hand menu
- Select hyperlink Add new Approval Delegation record
- Select Type of Delegation
- Next to Delegate Position Number, select the down arrow (a new window will open)
- Under Occupant enter the surname of the person you are delegating to followed by the % sign. You can also enter their first name or part of their name followed by the % sign again. Examples: smith% or smith%j% or smith%joe%.
- Select Find
- Select the position title of the occupant you are delegating to. The window will close and the position number will be displayed in the box next to Delegated Position Number
- Select the calendar next to Start Date and enter the date that you wish the delegation to commence
- Select the calendar next to End Date and enter the date that you would like the delegation to end
- Select Insert - the transaction is saved and the delegation has been set up
To change or delete a delegation:
- Log on to myHRonline
- Select the My Approvals tab
- Click on the word Approvals that appears on the blue line that runs beneath the tabs
- Select Approval Delegation
- Select Edit next to the delegation record you wish to change
- Go to the End date and change the date to today’s date. This will end the delegation as of today
- Select the Update button after you have filled in today’s date
