Leave Balances

To view your annual leave balance:

  • Log on to myHRonline
  • Select the My HR tab
  • Select the word Leave that appears on the blue line that runs beneath the tabs
  • Select Leave Balances from the list that appears on the left
  • Type in enquiry date
  • Balance at the enquiry date will display

Your annual leave balance is shown in myHRonline in hours (note: any future dated leave you have already booked and had approved is deducted from the online balance). Here are some examples of how to calculate annual leave balances:

  • If you are a full time academic staff member, you work 37.5 hours per week / 7.5 hours per day. Divide your annual leave figure by 7.5 to arrive at the balance in days.
  • If you are a full time general staff member who works a 35 hour week, you work 7 hours per day. Divide your annual leave figure by 7 to arrive at the balance in days.
  • If you are a full time general staff member who works a 38 hour week, you work 7.6 hours per day. Divide your annual leave figure by 7.6 to arrive at the balance in days.
  • For part-time staff, the balance is calculated on a pro-rata basis – please speak to the HR Service Centre or your HR Advisor for assistance.

To calculate future annual leave balance:

  • Use the Date Calendar to select a date
  • Click on the Calculate Balances button
  • Balance at the enquiry date will display

Long Service Leave

Eligible staff can view their long service leave balance in myHRonline:

  • Log on to myHRonline
  • Select the My HR tab
  • Select the word Leave that appears on the blue line that runs beneath the tabs
  • Select Leave Balances from the list that appears on the left
  • Type in enquiry date
  • Balance at the enquiry date will display

To calculate future long service leave balance:

  • Use the Date Calendar to select a date
  • Click on the Calculate Balances button
  • Balance at the enquiry date will display

Note: Long service leave is not accrued in the same way as annual leave. Eligible staff are only entitled to long service leave after completing 10 years’ service. Therefore your long service leave balance will generally only display on myHRonline from the tenth anniversary of your start date of employment.

Leave Bookings Request

Use myHRonline to apply for the following leave types:

  • Annual leave
  • Carer's leave: select Sick Leave as Leave Type, then select Carer's Leave from the Reason drop down menu
  • Compassionate Leave
  • Defence Forces Training Leave
  • Emergency Services Leave
  • Indigenous Cultural and Ceremonial Leave
  • Long Service Leave – full pay only; download the Leave Booking Form from the HR Forms page to submit half pay long service leave requests
  • Scheduled Days Off
  • Sick Leave

For all other leave types, download the Leave Booking Form from the HR Forms page


To submit a request for leave:

  • Log on to myHRonline
  • Select the My HR tab
  • Select the word Leave that appears on the blue line that runs beneath the tabs
  • Select Leave Bookings Requests from the list that appears on the left
  • Select the hyperlink: Whole Day Leave Booking or Part Day Leave Booking. A Leave Request screen will appear
  • Ensure correct job is shown in the job number box
  • Select the Leave Type from the drop-down list. Note: To request other leave types not mentioned download the Leave Booking Form from the HR Forms page. Note: To apply for carer's leave, select Sick Leave as the Leave Type, then select Carer's Leave from the Reason drop down menu
  • Select Start and End Dates using the date calendar buttons. Start Date is the first working day of your leave. End Date is the calendar day before you return to work (ie last day of your leave).
  • Select Hours as the ‘Unit’
  • Indicate if you have provided a Medical Certificate (sick leave only)
  • Leave the Other Doc field blank
  • Select a Reason
  • Add a Comment (optional)
  • Click on the Insert button
  • An email will be sent to your "leave approver" (who is usually your line manager). If your leave approver is away, and there is no delegation in place, the system will automatically escalate the request after 7 days.
  • Check the details of the booking in the Confirmation Screen
  • You will be advised via email when your approver processes the request

To cancel approved leave:

  • Log on to myHRonline
  • Select the My HR tab
  • Select the word Leave that appears on the blue line that runs beneath the tabs
  • Select Leave History from the list that appears on the left
  • Input the dates of the leave you want to cancel, then click the Find button
  • On the left hand side of the leave request you wish to cancel, click on the Reverse button
  • Click OK on the Please Confirm the Reversal pop-up
  • This will prompt an email being sent to your leave approver to approve the reversal. Once the approver approves your cancellation, the leave will be reversed.

To cancel leave that your leave approver has not yet approved:

  • Log on to myHRonline
  • Select My Requests, located in the top right-hand corner of your myHRonline homepage
  • Locate the Leave Request that you wish to cancel
  • Click on the Delete tick box beside the leave
  • Click the Delete button below the leave
  • Click OK on the Please Confirm Delete pop-up
  • The leave request is cancelled immediately

Leave History

To view historical leave:

  • Log on to myHRonline
  • Select the My HR tab
  • Select the word Leave that appears on the blue line that runs beneath the tabs
  • Select Leave History from the list that appears on the left
  • Input dates you want to view
  • Select Type of Leave from the drop down box
  • Select Find to bring up a list of your queried leave

Roster

To view your roster over a period of time:

  • Log on to myHRonline
  • Select the My HR tab
  • Select the word Leave that appears on the blue line that runs beneath the tabs
  • Select Roster
  • Enter the enquiry date and number of days
  • Select Find to bring up query results
