Direct Application Placements

Many of our Partner Sites require students to make direct application to them to request placement. These sites are referred to as Direct Application Sites.

Property records for each Direct Application Site are available to students, through the Virtual Veterinary Campus, for the sole purpose of arranging their required Animal Husbandry placements.

The Student Guide to Organizing Animal Husbandry Placements will assist you further in organising placements on the VVC.

When and When Not to Make Contact

Students may make arrangements at any time of the year to organise a Direct Application Site placement. Some sites are booked up quickly and may need to be organised a year in advance. However, you should only have one request ‘on the table’ at any one time.

You should not be contacting Direct Application Sites for work experience if you are entering preferences for placement with a Ballot Site. For obvious reasons you may find yourself allocated to a Ballot Site and also receive a positive response from a Direct Application Site for the same species. This is just professional curtesy since you have requested the place in the first place you should take it gratefully when it is accepted. This may suit you and you will need to use one of your Elective Experience Requirements to organise the Direct Application placement. If it doesn't suit you, you will need to find another student to take your Ballot Site placement before the Allocation Status of this placement is changed to "Requested - To Be Confirmed".

Students are only permitted to contact Direct Application Sites if the following requirements are met:

  1. Students must truthfully meet any requirements as indicated by the site. e.g. If the site requires students to attend for more than the 5 day minimum requirement you should not request a 5 day placement. If the site requires you to have your own transport or to be able to drive a manual vehicle, do not apply if you don't have transport or are not willing to learn how to drive a manual.
  2. The quota for student placements has not been filled. The Application Requirements in the Availability section of each property record indicates how many students a property can place, and perhaps when. You will need to compare this information with the record of student placement to determine if the quota for student placements has been filled.

Student contact with a Direct Application Site outside these requirements is in breech of the Student Code of Conduct and any incidents will be referred to the Veterinary Professional Conduct Committee.

No Reponse from a Direct Application Site

If you have sent a letter of interest to a Direct Application Site and they have not responded within 10 days it is reasonable to assume that your email was lost or perhaps ignored. You may wish to try again but if you wish to contact another site you will need to withdraw your request for placement.

Resend your email with a note explaining that you need to withdraw your request for a placement. Only then should you be contacting another site to request a placement. You need to avoid a double booking by having only one request ‘on the table’ at any one time. Students are required to attend all places they have requested. Again this is professional curtesy. If you have requested a place in the first place you should take it gratefully when it is accepted.

Procedure for Applying for Placement to a Direct Application Site

Direct Application Site placements follows this procedure:

  1. Students review the property record for Direct Application Sites by logging into the VVC, Preclinical - AH tab, and Search Properties pages. Students must meet the site's Application Requirements. These are indicated for each property on their Availability page. Students must also work out if there is an available place by comparing the properties Placement availability with the Confirmed Placements information provided on the Availability page.
  2. Contact the site only as they have indicated in the Application Requirments. This may be by email with a CV and letter of interest or the site may prefer a phone call. Indicate when you would like to attend and if you have specific dates include them in your letter of interest. Attach Sample Placement Documents (pdf) to your request unless you are sure that the site has taken students recently.
    Faculty doesn't require your supervisor to complete a Principal Agreement form but you will need to get all the information from your contact so that you can complete the online Principal Agreement form.
    If a site has not responded within 7-10 days it is appropriate to make one follow up email/call to make sure they received your request, or to withdraw your request for placement. Make sure you give ample time for the site to respond in consideration of the deadlines for entering a Principal Agreement which is generally three weeks prior to Start Date.
  3. If your application to attend is accepted log into the VVC and select the Direct Application Placements. Enter the Principal Agreement on the VVC to create your Direct Application placement on your record. The Principal Agreement can be made by email or over the phone and the details required are: Property Name, Start Date, Finish Date, No. of days you will be working on the property, Species Requirement for which you are attending, Supervisor’s name, Supervisor’s email or phone, Date of your agreement to attend.
  4. Check that you have commenced a placement record on the My Placements page. The Placement Status will read "PENDING" until it has been reviewed.
  5. Your placement will be reviewed, the Placement Status will be changed to "CONFIRMED" within a week, and you will receive a Confirmation email the following morning. Placement documents will be prepared and posted to the site so that they arrive prior to the commencement of your placement.

You are not required to send a copy of the Principal Agreement to the faculty for Direct Application Site placements.

Deadlines for Direct Application Site Placements

The following table/s indicate the deadlines for entering placements for Direct Application Sites into your record. If you are arranging a placement further into the future you can calculate the deadline as 16 working days prior.

The VVC will not accept a placement after the deadline.
